Privacy Policy

Last updated: July 22, 2026

1. Introduction

Welcome to Parentalist ("we," "our," or "us"). We are committed to protecting your privacy and the privacy of your children's information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

By using Parentalist, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not use our service.

2. Information We Collect

2.1 Authentication Information

When you sign in with Google OAuth, we collect:

  • Your email address
  • Your name
  • Your Google account identifier (stored securely)

2.2 Children's Profile Information

To provide our service, you may provide information about your children, including:

  • Name
  • Age
  • School name
  • Grade level
  • Activities and interests
  • Optional notes

Important: Child profile details are used only to help match parenting tasks to the right child. They are not used to train AI models, and we do not sell this information or use it for advertising.

2.3 Email Data

When you connect your Gmail account, we access and process:

  • Email content for task analysis via Google's Gemini API
  • Email identifiers to track processed emails and prevent duplicates

Important: Email content is analyzed temporarily to generate tasks but is not stored. We store only minimal, privacy-safe email identifiers needed to prevent duplicate task generation and to provide a link back to the original message for the parent who connected that inbox. Parenting partners can see shared tasks, but cannot browse another parent's inbox or view their emails.

2.4 Family Workspace Information

When using family workspace features, we collect family membership information necessary to enable sharing and collaboration features.

2.5 Usage Data

We may automatically collect certain information about your device and usage, including IP address, browser type, and access times. This information is used for security, analytics, and service improvement purposes.

3. How We Use Your Information

We use the collected information for the following purposes:

  • To provide, operate, and maintain our service
  • To analyze your emails using Google's Gemini API to generate parenting tasks
  • To manage and display your children's profiles and tasks
  • To enable family workspace features and sharing
  • To authenticate your identity and secure your account
  • To communicate with you about your account or service updates
  • To detect and prevent fraud, abuse, or security issues
  • To comply with legal obligations

4. Information Sharing and Disclosure

4.1 Family Workspaces

When you create or join a family workspace, information you add (children's profiles, tasks, email analysis results) is shared with other members of your family workspace. Family owners can manage membership and have additional permissions.

4.2 Third-Party Services

We use the following third-party services that process your information:

  • Google OAuth 2.0: For authentication and Gmail access. Your Google account information is subject to Google's Privacy Policy.
  • Google Gemini API: To analyze email content and generate parenting tasks. Parentalist uses Google's paid Gemini API. Under Google's paid Gemini API terms, data sent by Parentalist to Gemini (prompts and responses) is not used to train or improve Gemini's models or Google products. Child profile details used for task matching are likewise not used to train AI models.
  • Cloud Infrastructure Provider: For data storage and hosting. Your data is stored on secure cloud infrastructure.

A current list of sub-processors that process personal information on our behalf is available upon request at info@parentalist.app.

4.3 Legal Requirements

We may disclose your information if required by law, legal process, or government request, or to protect our rights, property, or safety, or that of our users.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

4.5 Google API Services and Limited Use

Parentalist's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Gmail and other Google user data obtained through Google APIs is used only to provide or improve user-facing features that are prominent in the Service (such as analyzing emails to generate parenting tasks). That data is never transferred for serving advertisements, and is never used to train generalized AI/ML models. See Section 2.3 (email data) and Section 4.2 (paid Gemini API terms) for additional detail on processing and retention.

We do not sell your personal information, display advertisements, or share it with third parties for their marketing purposes.

5. Data Security

We implement industry-standard security measures to protect your information:

  • Encryption of data in transit using HTTPS/TLS
  • Encryption of sensitive data at rest
  • Secure cookies for session management
  • Access controls and authentication requirements
  • Regular security assessments and updates

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

6. Data Retention

We retain your information as follows:

  • Email data: Email content is analyzed by Google's Gemini API but is not stored. We store only minimal, privacy-safe email identifiers to prevent duplicate task generation and to link back to the original message for the parent who connected that inbox. These identifiers persist until you delete the associated task or your account.
  • Account data: Your account information, children's profiles, and related data are retained until you delete your account.
  • Family workspace data: Retained until the family workspace is deleted or you leave the workspace.

You can delete your account and all associated data at any time. Upon account deletion, your information will be permanently deleted immediately, except as required by law.

7. Your Rights

You have the following rights regarding your personal information:

  • Access: You can access and view your account information, children's profiles, and tasks through the service.
  • Correction: You can update or correct your information and children's profiles at any time.

  • Revoke Consent: You can revoke Gmail access at any time through your Google account settings or by disconnecting the service.

7.1 California and Similar State Privacy Rights (CCPA/CPRA)

We do not "Sell" or "Share" your personal information or sensitive personal information as those terms are defined by the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), including for cross-context behavioral advertising. The Service is for adult account holders only. Children under 13 are strictly prohibited from creating accounts or directly accessing, logging into, or interacting with the Service.

Important: We do not knowingly collect personal information directly from children under 13 years of age. Any information about children stored in our service is collected solely from adult account holders acting as parents or legal guardians. If you are a parent and believe your child has provided us with information directly, please contact us immediately so we can delete such information.

Parentalist does not sell, share for advertising, or monetize children's information, and does not use children's information for tracking or behavioral profiling. Parents have full control over their children's information and can access, modify, or delete it at any time through the service.
